Four desks, one record

Nothing hands over, because nothing moves.

Chartering fixes it, operations runs it, finance settles it and management reads it. In most arrangements each handover is a transcription, and each transcription is where a term goes missing. Here they are the same record at different stages — so there is nothing to pass and nothing to drop.

One navigation

Role changes the widgets. It never changes the layout.

Most systems make chartering, operations and finance effectively three applications. Every new joiner learns three, and covering a colleague on leave means learning a fourth thing badly under pressure.

Here the shell is identical for everyone. Role decides which of the forty widgets you can place, what you are permitted to approve, and which numbers you are measured on. It never decides where anything lives.

Training a new joiner should take an afternoon, not a fortnight.

Forty widgets, ten per desk

Not configured by us at onboarding, and not fixed by an administrator. Each user builds their own screen from the widgets available to their role, and it stays as they left it.

That sounds like a small thing. It is the difference between a desk that uses the system and a desk that quietly goes back to the spreadsheet within a month.

What does not vary is the standard every screen is held to — what am I looking at, what needs my attention, what changed, and what should I do next.

The question this view answers

Where is the book exposed, what needs a decision from me today, and is the desk performing against the market or against luck?

The monthly pack tells you what happened. By then it has.

If it needs assembling, it is already history.

The distinction

A good quarter, or a good market?

A result cannot tell you. Rates rose, revenue rose, and whether the desk added anything is invisible in the accounts. Because every estimate is benchmarked as it is built, the spread is recorded rather than reconstructed.

Governance

Approvals and limits

Recaps and disbursements routed by threshold, with what is waiting and for how long visible rather than sitting in an inbox. Counterparty limits surface at fixture, not at settlement.

Memory

Knowledge stops being personal

Which owners are difficult, which charterers dispute, which vessel underperforms. Usually held in a few heads that eventually leave. Here it accumulates against the vessel and the counterparty.

Every figure carries its source, and where a sourced value was overridden the original is retained — so what was known at the time is reconstructable. How the AI works →

Bring last quarter. We will show it as this view would have — where the exposure sat, which voyages ran below estimate, and when that became visible.

The question asked every morning

Which cargoes need covering, which vessels are available, and what expires before lunch?

Everything you do has a clock on it.

Your competitive advantage is measured in minutes. Most of them are lost to typing.

Two estimators

Because you cannot run a full one forty times

A quick estimate for triage — worth a reply, and where does it sit against the route. A detailed one when it becomes real. They share the same record, so the first is not discarded.

Checks

Run whether you ask or not

Loadability against deadweight, draft and stowage factor. Draft against port restriction at the right water density. TCP and constants from the vessel's own record rather than the theoretical figure.

Benchmark

Every counter re-priced

Each counter re-estimates itself against the nearest Baltic route, read from the market reports your desk already receives — so you can see where the negotiation stops being worth having.

Voyage execution · Post-fixture
The question asked every morning

Which voyages are at risk, what is the exposure, and what needs a decision today rather than tomorrow?

You are judged on things you did not decide.

Nobody loses a demurrage claim because they calculated wrongly. They lose it because the evidence was in four inboxes.

Laytime

Demurrage and despatch

SHINC, SHEX, WWD, reversible and non-reversible, weather exceptions and turn time — calculated against the CP terms on the record, with NOR, SOFs and port logs attached as they arrived.

Disbursements

PDA and FDA

Each account checked against the estimate for that port. Overruns flagged at approval, with agent history accumulating behind it.

Port calls

Agents and instructions

Appointments, instructions and correspondence per call held on the voyage. Which agents respond, and whose disbursements routinely exceed estimate.

Bunkers

Stems and consumption

Stem planning on live Tideform prices, consumption against warranty by leg and grade. Underperformance feeds the vessel record, where a claim begins.

The claim file is complete before anyone needs it — notices, statements of fact, CP terms, weather on route and the accounts they are measured against. Voyage execution →

Bring the claim that failed — where the laytime calculation was right and the evidence was scattered.

Finance

Commercial finance · Settlement
The question asked every month

Which voyages are settled, which are not and why — and does the result agree with what chartering estimated?

You are not doing accounting. You are managing a commercial book.

Finance teams here think by voyage. Invoices are how the money moves, not how the business works.

Where it sits

This is commercial finance, working alongside your accounting system rather than replacing it. Your ledger, your statutory reporting and your audit stay exactly where they are.

Users complete their commercial finance work here end to end — the settlement of a voyage, what is owed and owing against it, and how it performed against its estimate. Only the posting into Tally, SAP or whatever you run happens outside.

A deliberate boundary rather than a gap. Finance buyers are rightly suspicious of anything claiming to be both a commercial system and a general ledger.

Freight

What the voyage earned, against the terms agreed at fixture and the basis they were quoted on.

Hire

Period commitments accruing against the voyage, with off-hire tracked separately from the earning position.

Disbursements

PDA and FDA per port call, reconciled against what the estimate assumed for that port rather than against nothing.

Claims

Demurrage and despatch resolved on the voyage, with notices, statements of fact and correspondence already attached.

Estimate against actual is a subtraction, not a reconciliation.

In most arrangements chartering's estimate, operations' running position and finance's actual are three figures maintained separately. Bringing them into agreement is a monthly exercise, and the disagreement is usually explained rather than resolved.

Here the estimate is stage 03 of the same voyage carrying the invoicing at stage 05. There is one figure, and the variance against it is arithmetic the system does continuously.

What that changes at close

Underperformance is not a surprise. A voyage running below estimate is visible while it is running, not when the FDA lands.

Variance has a cause attached. Port days, bunkers, disbursements, laytime — each traceable to the stage and the document that moved it.

Claims are raised with their evidence. The file was assembled as the voyage ran.

The numbers agree across desks. Because there is only one set of them.

Nothing is transferred to finance. There is nothing to transfer. One record, five layers →
